Overview

Job Summary 

We're seeking a Travel Coordinator (AKA: Travel Scheduling Administrator) who will be responsible for evaluating job schedules and processing travel arrangements for construction crews and company employees in an accurate, professional manner, with the goal of controlling costs.  The Travel Scheduling Administrator will also be responsible for various administrative tasks such as resolving travel issues and processing cost allocations/coding. This person will be a member of the Supply Chain Department and will report to the Travel Services Manager.

This is a six-month contract to cover an individual out on leave. There may be a possibility of converting to full-time, but the role is not approved for a permanent role at this time. 

Responsibilities

Essential Job Functions

  • Evaluate job schedule daily to coordinate individual crew member travel to job locations and home in an efficient, cost-effective manner that complies with GSI Travel Policy and Travel Department SOPs.
  • Regularly communicate with crews, project managers, sourcing managers, and operations to obtain consensus on crew travel plans.
  • Maximize creation of travel bookings on the preferred travel platform.
  • Negotiate and ensure preferred hotel pricing is maintained in travel platform and shared team docs for all users to leverage.
  • Code credit card expenses for Travel Department.
  • Monitor Travel Department main phone line and email.
  • Respond to all incoming communication in a timely manner.
  • Enter travel bookings into Smartsheet booking form.
  • Enter lodging booked in master Smartsheet Job Checklist.

 

Qualifications

  • Detail-oriented individual with a strong sense of urgency and ability to simultaneously manage multiple tasks while meeting all deadlines.
  • Strong communication and schedule management skills; Ability to evaluate upcoming projects and determine travel requirements to meet customer needs.
  • Previous experience booking travel for construction crews is preferred.
  • Strong computer skills and knowledge of corporate travel platforms. 

Salary range: $22.00 - $30.00 per hour
